Key Responsibilities

  • Actively listen to, comprehend, clarify, and address the concerns and issues raised by clients, colleagues, and guests.
  • Clearly and effectively communicate information and ideas to clients, guests, and team members.
  • Interpret financial data and basic arithmetic functions, reporting as necessary.
  • Encourage teamwork and high-quality service through daily communication and collaboration with all departments.
  • Engage in regularly scheduled sales meetings.
  • Gain a comprehensive understanding of hotel operations, including food & beverage, front desk, reservations, housekeeping, maintenance, and guest services.
  • Collaborate closely with other hotel departments to ensure services agreed upon by the sales office and potential clients are delivered.
  • Respond promptly to all individual and group inquiries.
  • Conduct site tours for prospective clients and guests as required.
  • Maintain strong relationships with the existing client base and explore opportunities to enhance revenue from this group.
  • Proactively seek sales leads and referrals from in-house guests.
  • Assist in executing special promotions related to direct sales segments.
  • Oversee all aspects of booking and executing group reservations, including resumes, confirmations, charges, and deadlines.
  • Manage room block reservations and their respective cutoff dates.
  • Welcome group contacts upon arrival and ensure their satisfaction throughout their stay.
  • Follow up with clients during and after their departure to ensure satisfaction and secure future bookings.
  • Assist in planning Lexima's social calendar and events.
  • Collaborate with public relations on social media content, partnerships, and announcements.
  • Responsible for organizing social events, birthday celebrations, and wedding functions.
  • Review daily postings of charges to client master accounts, resolving discrepancies or processing necessary adjustments. Ensure the final bill is accurate before presenting it to the client.
  • Complete post-event reports for senior management and fulfill other reporting requirements as requested.
  • Maintain organized and up-to-date client files.
  • Ensure all requests are followed up within a 24-hour timeframe.
  • Execute all assigned tasks within the approved timeline.
  • Develop a tracking system to regularly engage and maintain relationships with primary clients and in-house guests.
  • Assist the Director of Sales in preparing letters, brochure packets, and invitations.
  • Create professional group proposals and contracts.
  • Generate group block invoices promptly.
  • Keep sales reports current and updated.
  • Perform any additional duties as assigned by the General Manager or Director of Sales.
Qualifications
  • Preferred Bachelor's degree with a focus on Hotel Management or Hospitality.
  • Ability to thrive in high-pressure, stressful situations.
  • Team player who leads by example.
  • Demonstrated knowledge of and commitment to excellent service standards.
  • Prior experience in hospitality or a related service industry.
  • Strong time management skills.
  • Availability to work weekends as required.
  • Valid driver's license for the applicable state.
  • Fluency in English is essential.
