Job Summary

We are seeking a highly skilled Conference Center Operations Manager to join our team at JLL. As a key member of our events team, you will be responsible for the day-to-day operations of our conference center, including corporate, social, and non-profit events, as well as internal meetings.

Key Responsibilities:
  • Event Operations: Manage the day-to-day operations of conference center events, including corporate, social, and non-profit events, and internal meetings.
  • Client Relations: Conduct client meet and greet prior to events and post-event follow-up as directed.
  • Vendor Management: Maintain vendor relationships, agreements, and certificates of insurance.
  • Event Coordination: Assist clients with onsite event coordination, including catering, hotel accommodations, decorations, etc.
  • Labor Management: Coordinate labor for events, including janitorial and security, and loading dock schedule.
  • Audio Visual Equipment: Be knowledgeable of the conference center's audio visual equipment and its operation, as well as maintain and secure equipment.
  • Contract Management: Keep up-to-date status of all contracts for events, preferred vendors, non-preferred vendors, etc.
  • Administrative Tasks: Distribute inner office memos as directed.
  • Event Security: Coordinate security as directed.
  • Insurance Certificates: Secure insurance certificates (COI) as directed.
  • Correspondence: File all correspondence as directed.
  • Client Payment: Confirm client full payment is received prior to all events.
  • Team Management: Supervise the Conference Center Attendant and vendor staff, providing daily support and management of job performance.
  • Staff Development: Manage staff to meet JLL Experience Management and contracted client expectations.
  • Hiring and Training: Evaluate and participate in the hiring of the Conference Center Attendant, provide training in JLL Experience Management policies and procedures.
  • Performance Management: Counsel and coach team members regarding unsatisfactory performance, including recommendation of termination when appropriate.
  • Event Planning: Handle all event planning requests in a timely manner from 111 S. Wacker and contracted clients, ensuring smooth execution and proactive follow-up.
Requirements:
  • Experience: 3-5 years' experience in event sales and marketing, preferably in the hospitality industry.
  • Event Planning: Event planners with 7 years' experience.
  • Budgeting: Ability to develop and evaluate event budgets.
  • Marketing: Experience developing and leading marketing activities, including website development.
  • Contract Negotiation: Contract negotiation experience.
  • Technical Skills: High proficiency in MS Excel and other spreadsheets, experience with CRMs.
  • Communication: Able to multi-task in a fast-paced environment, accommodating and communicating to a broad range of clientele with varied needs.
  • Problem-Solving: Able to think quickly and efficiently when confronted with a client request.
  • Initiative: Motivated self-starter who is able to work with minimal supervision.

Education and Experience:
  • Education: Four-year degree preferred or partial degree with life experience.
  • Experience: 3-5 years' experience in direct event planning, Hospitality, or related field is desirable.
  • Conference Center Management: Conference Center management, highly recommended.
