Job Summary

We are seeking a highly organized and detail-oriented Office Assistant to join our Student Affairs team. The successful candidate will provide administrative support to the supervisor and department, ensuring seamless day-to-day operations.

Key Responsibilities
  • Provide a full range of secretarial and scheduling support to the supervisor and department.
  • Manage paperwork, college documents, and departmental forms, ensuring accuracy and timeliness.
  • Answer phones, screen incoming calls and mail, and respond to inquiries independently or refer as necessary.
  • Greet students and stakeholders, referring them to relevant resources as needed.
  • Coordinate schedules, meetings, and appointments, making arrangements with students and stakeholders.
  • Establish and maintain general files and records, including electronic files on the department drive.
  • Manage the supervisor's calendar and schedule appointments.
  • Arrange programs and events, reserve facilities, and coordinate catering, invitations, and speakers.
  • Create, maintain, and track departmental information.
  • Compose and prepare routine and confidential correspondence, letters, memos, forms, reports, and other documents.
  • Submit departmental requests for technology, copy center, and other services.
  • Provide clerical support to the student complaint and conduct process.
  • Attend meetings and take notes.
  • Arrange travel plans and itineraries, compiling documents for travel-related meetings.
  • Provide functional supervision to part-time clerical staff, work-study students, and student assistants as needed.
Requirements
  • Associate's Degree and a minimum of two (2) years of experience, or a High School Diploma (or equivalent) and a minimum of three (3) years of experience in an administrative role with scheduling responsibilities.
  • Significant related experience may substitute for education.
Preferred Qualifications
  • Demonstrated experience making sound decisions that affect a work unit or team.
  • Demonstrated experience in a role requiring diverse problem-solving methods in a variety of situations.
Working Conditions

The work is performed in a normal, professional office environment. The work area is adequately lighted, heated, and ventilated. The employee may sit comfortably to perform the duties of the job and will perform repetitive motions with hands/fingers using a computer mouse and keyboard to type. However, there may be some walking, standing, bending, and carrying of light items.
