Position Overview:

The Overnight Hotel Operations Specialist plays a crucial role in managing all aspects of the Night Audit process. This position oversees front desk activities during the overnight hours, typically from 11 PM to 7 AM. Key responsibilities include guest registration, reservation management, daily report preparation, transaction balancing, and conducting security inspections.

Essential Qualifications:

  • Minimum of 1 year of relevant experience in hospitality or a related sector.
  • High School diploma or equivalent is mandatory.
  • Relevant college coursework is advantageous.
  • Previous experience in a supervisory role is preferred.
  • Ability to work independently with minimal oversight.
  • Familiarity with accounting principles is required.
  • Strong problem-solving skills to address guest concerns and emergency situations.
  • Proficiency in Windows operating systems and standard office software.
  • Excellent communication skills to convey information effectively.
  • Quick decision-making abilities in high-pressure situations.
  • Capability to manage workplace challenges, including anticipating and resolving issues.
  • Ability to analyze complex information from various sources and adapt as necessary.
  • Understanding of financial data and basic arithmetic skills.
  • Experience in a self-directed work environment.
  • Strong listening skills to address the needs of guests and colleagues.
  • Ability to maintain composure and professionalism under stress.

Key Responsibilities:

  • Engage with guests and team members in a friendly, service-oriented manner.
  • Ensure regular attendance in line with company standards and scheduling needs.
  • Maintain high standards of personal appearance and grooming, adhering to uniform policies.
  • Comply with all company standards and regulations to promote safe and efficient hotel operations.
  • Exhibit a warm and welcoming demeanor at all times.
  • Initiate and complete the End of Day process efficiently.
  • Generate necessary reports for Food and Beverage audits.
  • Complete the Night Audit checklist for daily computer procedures.
  • Balance daily transactions, including various revenue streams.
  • Adhere to cashiering responsibilities as per company standards.
  • Ensure the proper operation of the Front Office computer system.
  • Manage all Front Office functions during the overnight shift.
  • Conduct regular security checks of the property and guest areas.
  • Address and fulfill guest requests throughout the night.
  • Follow safety and emergency protocols as outlined by the company.
  • Maintain accurate records, including log books and reports.
  • Familiarize oneself with company policies and house rules.
  • Prepare and submit daily billing documentation as required.
  • Maintain communication with other staff members during the shift.
  • Possess a working knowledge of security procedures.
  • Ensure all associates provide attentive and courteous service to guests and colleagues.
  • Prepare and distribute the Daily Flash Report as needed.
  • Manage the transfer of master or house accounts as necessary.
  • Distribute work materials as directed by standard operating procedures.
  • Train new Night Auditors as needed.
  • Run morning reports according to company procedures.
  • Coordinate the delivery of newspapers and Express Check-Outs.
  • Ensure nightly inspections include the removal of room service trays and tidying of common areas.
  • Handle Lost and Found items according to company standards.
  • Complete any management-requested reports in a timely manner.
  • Perform miscellaneous duties as required, including resetting systems and preparing daily summaries.
  • Assist guests with food orders and service as applicable, maintaining a clean and organized environment.
  • Attend meetings as required by management.
  • Execute any additional duties as assigned by management.
