Position Overview

The Event Coordination Specialist plays a pivotal role in the planning and execution of high-quality, impactful Continuing Education (CE) programs that aim to improve patient care. This position demands exceptional organizational and strategic planning abilities, along with strong verbal and written communication skills. The ideal candidate will possess a keen business sense and the capability to make informed decisions.

Key Qualifications:
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Meticulous attention to detail and adept problem-solving skills.
  • Strong organizational and time management skills.
  • Ability to juggle multiple responsibilities, prioritize tasks effectively, meet deadlines, and ensure timely follow-ups.
  • Excellent interpersonal and communication abilities.
  • Familiarity with Joint Accreditation and ACCME standards for CE providers is preferred but not essential.
  • Bachelor's Degree is desirable.
  • A minimum of 3 years of experience in event planning or coordination.
  • Willingness to travel as necessary (minimal travel expected).
Core Responsibilities:

Event Management:
  • Oversee onsite logistics for live events, working closely with venue staff and service providers.
  • Ensure compliance with regulatory guidelines by managing information distribution and document collection.
  • Engage in planning discussions with collaborators and faculty to guide content creation and event details.
  • Maintain up-to-date CE documentation, ensuring all necessary forms are completed and signed by relevant parties.
  • Solicit proposals from venues and vendors for external events.
  • Manage the creation and distribution of marketing and promotional materials for events.
  • Coordinate with internal teams for room arrangements, IT support, and catering services, as well as with external vendors when needed.
  • Evaluate pre-test/post-test results, feedback summaries, and outcome assessments to identify areas for future improvement.
Grants and Exhibitions:
  • Develop, review, and submit grant applications and budgets for CE/IPCE activities.
  • Provide regular updates to sponsors regarding project status.
  • Prepare, review, and submit financial reports, evaluation summaries, and outcome assessments.
  • Manage exhibit requests and the exhibition space.
Collaboration with External Partners:
  • Build relationships with external stakeholders to create educational initiatives that enhance professional skills and improve patient care quality.
  • Work alongside medical education companies, accredited providers, and professional associations to plan and execute successful CE programs.
  • Offer feedback and periodic reports to stakeholders, suggesting enhancements and cost-saving strategies when feasible.
Faculty Engagement:
  • Collaborate with faculty to design and implement innovative interprofessional continuing education that enhances professional skills and elevates the reputation of Montefiore Medical Center.
  • Coordinate with planners to gather information on educational needs, gaps in professional practice, learning objectives, speakers, agendas, and outcomes.
  • Engage with faculty members serving as course directors, reviewers, speakers, and advisory board members for CE activities.
Department: Research Employment Status: Regular Full-Time Shift: Day Salary Range: $62,000 - $75,000.00
