Job Title: Project Coordinator

We are seeking a highly organized and detail-oriented Project Coordinator to join our team at Paul Davis Restoration of Fairfield and Westchester Counties.

Job Summary:

The Project Coordinator will work closely with our Sales, Emergency Services, and Reconstruction departments to administer and organize jobs, ensuring timely completion and customer satisfaction.

Key Responsibilities:
  • Support Mitigation Managers, Reconstruction Production Managers, and Project Directors as needed
  • Answer incoming calls and complete intake for new losses
  • Collaborate with clients, customers, and vendors to ensure job requirements are met
  • Complete job notes and compliance tasks in our operating systems
  • Create new loss files and send invoices for jobs/projects
  • Maintain and file job files and project documentation
  • Make collections calls for the Accounts Receivable department
  • Run reports in our RMS system and confirm job schedules and compliance deadlines
  • Coordinate job/project schedules, resources, equipment, and labor
  • Liaison with clients to identify and define jobs
  • Ensure client needs are met from start to completion of job
  • Assist Project Managers with job updates and information
Requirements:
  • High School Diploma or GED required
  • Customer Service experience
  • Three plus years experience in an Administrative position
Preferred Qualifications:
  • Associate Degree Preferred
  • One or more years experience within the restoration industry or related industry
Physical Requirements:
  • Must be able to stay in a stationary position up to 30% of the time
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery
  • Must be able to observe and perceive information on a computer and documents
  • Must be able to communicate and converse with customers over the phone
  • Occasionally will lift up to 10lbs
  • Ability to safely operate a company vehicle
