This role will initially be part-time, transitioning to a full-time position.
Position Summary:
Reporting directly to the Branch Manager, this role is responsible for providing administrative assistance to the Service and Construction divisions.
Key Responsibilities:
- Verify Service Tickets for billing precision.
- Input hours worked for Service Technicians and Construction staff in Great Plains – Time Track software.
- Finalize Gilbarco/Warranty claims.
- Manage the issuance and receipt of Purchase Orders.
- Register new equipment installations.
- Assess denied or overdue invoices.
- Secure multiple trip approvals for billing purposes.
- Support the construction manager in ordering equipment, organizing jobs, and reviewing projects for completion.
Qualifications:
- Meticulous attention to detail.
- Proficient in Excel/MS Office.
- Adept at multitasking and prioritizing tasks.
- Strong verbal and written communication skills.
- Excellent interpersonal abilities.
- Self-motivated with a focus on process enhancement.
- Experience with Great Plains is advantageous.
- Prior experience in service dispatching is highly desirable.

Supervisory Role:
This position does not have direct supervisory duties but may provide guidance and mentorship to other roles within the organization.
Work Environment:
This position operates within a professional office setting, utilizing standard office equipment such as computers, telephones, photocopiers, filing cabinets, and fax machines.
Physical Requirements:
This is primarily a sedentary role; however, some filing duties are required, necessitating the ability to lift files, open filing cabinets, and bend or stand as needed.
Position Type and Expected Hours:
This role will begin as part-time and will evolve into a full-time position. Standard office hours are Monday to Friday, 8 AM to 5 PM. Specific hours will be discussed during the screening process.
Travel Requirements:
Local travel to the branch is anticipated.
Education and Experience:
A high school diploma or GED is required.
Work Authorization:
US Work Authorization is mandatory.
