Fleet Operations Specialist

Key Responsibilities
  • Conducts thorough analysis of fleet-related operational and regulatory data using both internal and external resources.
  • Ensures compliance of Driver Qualification (DQ) Files in line with Federal Motor Carrier Safety Administration (FMCSA) regulations.
  • Assists with inquiries and submissions related to DataQ.
  • Facilitates background checks and communicates compliance status to hiring managers.
  • Acts as the technology liaison for the fleet department, collaborating on telematics and electronic toll systems.
  • Contributes to the creation of fleet-related presentations and forecasts.
  • Upholds safety protocols consistently, including accident reporting and follow-up procedures.
  • Supports the annual vehicle renewal process.
  • Expedites licensing, renewals, and special permits under the International Registration Plan (IRP).
  • Researches and informs on changes in state laws and requirements.
  • Maintains data integrity regarding driver hours and vehicle information, including fuel and mileage records.
  • Participates in assigned special projects.
  • Possesses knowledge of DOT Federal Motor Carrier Safety Regulations.
  • Serves as the Company Designated Employer Representative (DER), aiding in policy development to comply with FMCSA and DOT guidelines.
  • Conducts inquiries to the Clearinghouse for CDL holders.
Minimum Qualifications
  • Effective communication skills with all levels of employees, customers, and vendors.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Ability to thrive in a fast-paced environment with a keen focus on detail.
  • Capable of working independently while also being a team player.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Strong written, verbal communication, and analytical skills.
  • Preferred Qualifications
  • Associate's or Bachelor's degree or equivalent professional experience.
Reporting Structure
  • This position reports directly to the Director of Fleet Operations.
  • Employee Status: Non-Exempt
