Job Overview:


As a key member of our healthcare team, you will be responsible for the accurate registration of patients across various service lines, ensuring the collection of essential demographic, financial, and clinical data from patients or their representatives.

Position Details:

This is a PRN role, meaning you will work on an as-needed basis.

Shifts for this position will vary, including Day and Midshift hours.

As a Patient Access Representative, your responsibilities will include:
Effectively registering patients by confirming, entering, and updating all necessary demographic information for both patients and guarantors in the registration system. You will also be tasked with preventing overlays and duplicate medical records. Following established procedures for patient identification and applying identification bracelets is crucial. In instances of system downtime, you will register patients according to established protocols and promptly enter data once the system is available.
Collecting and explaining copies of insurance cards, forms of identification, and obtaining signatures on all required documentation is essential. You will verify information on accounts to assess insurance coordination of benefits and ensure pre-certification or prior authorization is completed when necessary. Additionally, you will complete the Medicare Secondary Payer (MSP) questionnaire when applicable.

It is important to verify insurance details to determine coordination of benefits and obtain necessary authorizations or referrals.

You will also screen for and process non-covered services and waivers of liability (ABN) through automated screening at the time of service. Informing self-pay patients about their financial responsibilities, prepayment requirements, and coordinating the screening of alternative funding sources will be part of your role. You will prepare estimates for procedures, calculate advance payment requirements based on previous balances, and refer potentially eligible patients to financial counseling or eligibility vendors. Collaborating with clinical areas and ancillary departments to obtain accurate orders is vital to establish patient financial expectations.
Collecting patient payments and issuing accurate receipts, along with posting all payments in the system and reconciling receipts with cash collected, is a key responsibility.

Documenting patient account notes for all interactions and transactions is necessary. You will maintain departmental and individual work queues and reports as required.

Addressing patient billing inquiries and interpreting statement data to resolve account issues is part of your duties.

Escalating unresolved account issues and updating the emergency department room tracking system will also be required.

Minimum Qualifications:

  • High School Diploma or equivalent is preferred.
  • Strong organizational skills and attention to detail are required.
  • A minimum of one (1) year of experience in the hospitality or service industry is preferred.
Physical Requirements:


Effective communication skills, both verbal and written, are essential. You will need to operate computers and other office equipment, requiring dexterity in your fingers and hands. The ability to see and read computer monitors and documents is necessary. You should be able to remain seated or standing for extended periods while performing tasks on a computer, telephone, or other equipment. Lifting and transporting objects and office supplies, as well as bending, kneeling, and reaching, may be required.
