Key Responsibilities
  • Calendar Management: Manage and coordinate calendars for 10 physicians, ensuring accurate scheduling and minimizing conflicts.
  • Administrative Tasks: Handle credit card expenses, book travel arrangements, prepare invoices, and perform other administrative duties as assigned.
  • Transcription and Document Preparation: Transcribe physician dictations, format and edit office notes, and prepare documents for outside sources.
  • Mail and Record Management: Open and distribute incoming and outgoing mail, and manage medical records requests.
  • Practice Management Support: Assist the Practice Manager with matters related to physician subpoenas, court appearances, and risk management.
  • Travel Arrangements: Make travel arrangements and submit travel vouchers.
Requirements
  • Experience: Preferably 2+ years of experience supporting an executive in a medical or academic field.
  • Skills: Strong organizational and time management skills, attention to detail, and proficiency in computer applications, including PowerPoint and email.
  • Personality: Easy-going, flexible, and able to handle multiple tasks and priorities.
