Administrative Assistant

We are seeking a highly motivated and versatile individual to join our team as a General Position. This role will provide administrative support and assistance across various departments, ensuring the smooth functioning of daily operations.
Key Responsibilities:
- Provide administrative support to various departments, including data entry, filing, and photocopying.
- Assist with answering incoming calls, routing them to the appropriate individuals, and taking messages.
- Coordinate and schedule meetings, conferences, and appointments, ensuring all necessary materials and resources are prepared.
- Manage office supplies inventory, place orders as needed, and ensure sufficient stock levels at all times.
- Offer excellent customer service to internal teams and external stakeholders, providing timely and accurate responses to inquiries.
- Support the organization's HR activities, including maintaining personnel records, assisting with recruitment processes, and organizing employee onboarding and offboarding procedures.
- Conduct basic research tasks, preparing reports or summaries as required.
- Collaborate with colleagues to identify and implement process improvements, maximizing efficiency and productivity.
- Assist with event planning and coordination, both internal and external, to ensure successful execution.
- Uphold confidentiality in all tasks, ensuring sensitive information remains secure and protected.
Requirements:
- High school diploma or equivalent; some college coursework preferred.
- Proven experience in a similar administrative or support role is desirable.
- Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
- Proficient in using MS Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.
- Strong interpersonal and communication skills, both written and verbal.
- Attention to detail and accuracy in all work performed.
- Ability to work independently with minimal supervision as well as collaborate effectively within a team.
- Resourcefulness and problem-solving aptitude.
- Flexibility to adapt to changing priorities and willingness to take on new challenges.
- Demonstrated commitment to maintaining confidentiality and professional integrity.
