Cultural Affairs Coordinator II Job Description

Job Summary: We are seeking a highly organized and detail-oriented Cultural Affairs Coordinator II to join our team at the City of Chicago Department of Cultural Affairs and Special Events (DCASE). As a key member of our Operations Division, Permits team, you will play a critical role in coordinating and securing Special Event Permits for outdoor events in the City of Chicago.

Key Responsibilities:

  • Work with event organizers to coordinate the activities of private athletic events, respond to questions and concerns to ensure requirements are met to facilitate the online permit application process
  • Coordinate the online application process and review of private athletic events, including review proposed event plans, respond to inquiries, follow up, and track statuses
  • Coordinate meetings with event organizers and present information to clarify and interpret rules, processes, and procedures
  • Assist the event permitting team as needed to process other permitting applications for outdoor events citywide
  • Work with various city departments, such as CPD, OEMC, Streets and Sanitation, Chicago Park District, CTA, etc. to develop, plan, identify conflicts, organize, enforce, train, and implement goals, objectives, and procedures for athletic events
  • Coordinate and provide on-site guidance as DCASE representative for private athletic events and festivals
  • Communicate by emails, phone calls, and on-site/off-site meetings to assist with requirements, processes, and procedures to assist organizers with producing events
  • Collect data from special event applications online portal to track the application process and to record data on special event types and locations held across the city
  • Prepare status and wrap up reports on events citywide
  • May oversee and/or supervise temporary staff, including student interns, providing guidance, instructions, feedback, and oversight/supervision
  • Assist in developing and maintaining best practices for event organizers
  • Attend various internal and external meetings
  • Participate and sign-up to help with other DCASE events, programs, and activities as needed to support the work of DCASE

Requirements:

  • Graduation from an accredited college or university with a Bachelor's degree, plus two years of program development or administration experience in the area of visual arts, performing arts or creative arts programming, or an equivalent combination of education, training and experience
  • Previous work experience with athletic or event planning and production
  • Bachelor's degree in advertising, Arts Administration, Communications, Hospitality, Liberal Arts, Public Relations, Tourism, or a directly related field
  • Previous work experience in government structure and protocol
  • Proficiency in Microsoft Word, Excel, PowerPoint

Working Conditions:

The Cultural Affairs Coordinator II position requires a flexible work schedule, including early mornings, evenings, weekends, and holidays for festivals, events, and programs. Work indoors and occasionally outdoors in extreme weather conditions and noise.
