Job Overview

Position Summary: The Event Planning Specialist plays a crucial role in orchestrating impactful events alongside the Executive Director and the Sales & Marketing team. These community gatherings aim to generate external leads, nurture existing relationships, and engage professionals to maintain occupancy levels and enhance community awareness.

Key Responsibilities:

  • Formulates a quarterly event strategy and plan, targeting 3-5 events monthly to uncover market opportunities and attract leads, professional referrals, and family members associated with Kensington Senior Living.
  • Oversees all pre-event logistics, including:
    • Defining event topics
    • Securing dynamic speakers
    • Coordinating dates with the Sales & Marketing team
    • Reserving appropriate venues
    • Collaborating with the Executive Chef on catering
    • Creating and distributing promotional materials to maximize RSVPs.
  • Reviews event schedules with Kensington Directors, manages setup with the Building and Dining teams, welcomes speakers and guests, collects attendee information, and ensures seamless event execution.
  • Partners with relevant organizations to co-host or sponsor off-site events, managing all planning and execution alongside professional referral sources.
  • Conducts follow-ups with attendees, sending thank-you notes and emails.
  • Creates a Monthly Digital Marketing plan encompassing all promotional needs for upcoming events, including eblasts, flyers, postcards, print ads, and social media posts.
  • Regularly updates the Kensington Senior Living website, ensuring accuracy by providing the Digital Team with necessary updates on team members, event changes, and content adjustments; collaborates with the Life Enrichment team to capture high-quality photos of residents during activities.
  • Maintains an accurate inventory of promotional items and event giveaways, submitting requests for reorders and new items as required.
  • Represents Kensington Senior Living at local events, networking associations, community functions, and health fairs as appropriate.
  • Performs additional duties as assigned.

Qualifications and Skills:

  • Exceptional verbal communication and interpersonal skills.
  • Ability to thrive in a collaborative team environment.
  • Strong organizational and time management abilities.
  • Proficient in computer applications, including Word, Excel, Outlook, and PowerPoint.
  • Familiarity with social media platforms and their effective utilization.
  • Proven ability to network professionally and build positive relationships.

Education and Experience:

  • A minimum of 3 years in a related marketing or event coordination role.
  • A bachelor's degree is required.
  • Must effectively communicate with individuals of all ages, maintaining a positive and energetic demeanor.
  • Willingness to work flexible hours, including evenings and weekends.
  • Proficient in reading and writing English, with the ability to follow verbal and written instructions.
  • A valid driver's license and reliable transportation for outreach activities are necessary.
