Practice Manager

We are seeking a highly organized and effective Practice Manager to join our team at Pain Specialist of America LLC. The ideal candidate will have a strong background in healthcare administration and excellent communication skills.
Key Responsibilities:- Supervise Staff and Manage Daily Operations: Oversee the daily management and oversight of all employees at the location, ensuring high levels of operational efficiency.
- Establish and Maintain Schedules: Establish and maintain schedules, allocation of staff resources, and assure effective patient care.
- Train and Rotate Staff: Train and rotate office staff through various office duties to ensure cross-coverage in all areas.
- Assess Staff Performance: Assess staff performance, complete 90-day reviews on new hires, and annual reviews on established employees.
- Conduct Office Staff Meetings: Conduct office staff meetings regularly.
- Monitor Time Clocks and Timesheets: Monitor time clocks daily, limiting overtime and time-off requests, and verify all timesheets with the HR department by Friday end of day.
- Oversee Daily Deposits and Till Reconciliation: Oversee daily deposits and till reconciliation.
- Manage Inventory and Office Supplies: Oversee inventory and ordering of office supplies.
- Ensure Excellent Customer Service: Ensure all staff answer the telephone in a timely and professional manner, demonstrate superior customer service skills, and communicate with customers in a courteous, professional, cooperative, and mature manner.
- Protect Patient Confidentiality: Protect patient confidentiality per policies and procedures.
- Manage Electronic Health Records: Scans and enter information into Electronic Health Record accurately and timely.
- Perform Environment of Care Functions: Oversees and maintains a safe environment for employees, patients, and visitors, assures that all emergency equipment is properly maintained, completes work/repair orders in a timely manner, and coordinates and prepares the office and staff for potential weather-related disasters.
- Manage Medical Records Requests: Follows company protocol for release of medical records, works with the Administrator to develop, implement, and monitor effective programs, and assures staff meets deadlines on projects assigned.
Requirements:
- Education and Experience: Bachelor's degree in Healthcare Administration, Public Health, Business, or similar is preferred, prior experience in healthcare is desired, and prior experience in a manager role in healthcare is desired.
- Skills and Abilities: Effective problem-solving skills, a desire to address little problems before they become big problems, working knowledge of federal and state regulations that impact clinic operations, including HIPAA, ability to accurately and efficiently use Health Information Technology (HIT) Systems, including running reports, excellent organizational and interpersonal communication skills, demonstrated ability to manage multiple priorities, ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations, ability to write reports, business correspondence, and procedure manuals, ability to work effectively by presenting information and responding to questions from groups of managers, clients, customers, and physicians, and ability to work in a fast-paced environment.
