Job Overview

We are seeking a highly skilled and resourceful Executive Assistant to support our Chief Executive Officer in day-to-day operations. The ideal candidate will have a strong ability to navigate complex environments, take initiative, and provide bespoke services to senior leaders and external partners.

Key Responsibilities
  • Manage the CEO's schedule to ensure efficient completion of obligations.
  • Provide personal support to the CEO and serve as his point of contact for various needs and requests.
  • Coordinate internal and external meetings, including team meetings, full staff meetings, and one-on-one meetings.
  • Proactively manage calendar priorities based on customer meetings, release cycles, and fiscal calendars.
  • Book domestic and international travel within company policy, considering travel Visas, costs, and documentation.
  • Effectively interface with employees from other groups and senior executives inside and outside the company.
  • Assist with food orders, luncheon planning, and planning of other business-related meetings as requested.
  • Support PowerPoint presentations and Microsoft applications as needed.
  • Perform other administrative and project duties as requested.
Requirements
  • Minimum 5+ years of applicable administrative experience in a large, dynamic environment.
  • Experience in directly supporting the Chief Financial Officer of a company.
  • Strong execution of administrative activities with high attention to detail, organization, and process.
  • Willingness to support the CEO on personal matters.
  • Ability to work outside regular work hours due to the CEO's hectic schedule.
  • Experience with virtual meetings and tools, such as Google Meet, Google Calendar, and Google Workspace apps.
  • Strong teamwork skills and ability to offer suggestions and improvements to process and work collaboratively with others.
  • Strong relationship management skills and ability to build a personal network throughout the company.
  • Very strong technical competency, specifically with MS Word, Excel, PowerPoint, Gmail, and Google Calendar.
  • Project coordination experience at an intermediate complexity.
  • Strong oral and written communication skills, with the ability to communicate clearly and effectively with senior leaders and external partners.
  • Previous experience partnering with senior management in a fast-paced, innovative environment.
  • Experience working with large administrative teams.
