Job Title: Project Coordinator

**Job Summary:**

We are seeking a highly organized and detail-oriented Project Coordinator to support the Business Operations team at Coventek Inc. The successful candidate will play a vital role in ensuring the smooth execution of projects and activities, working closely with the Project Manager and team members.

Key Responsibilities:

  • **Project Coordination:**
    • Coordinate and schedule project-related meetings, ensuring timely attendance and effective communication among team members.
    • Transcribe and disseminate project meeting minutes, capturing key decisions and action items.
  • **Project Documentation:**
    • Document and track project documentation and deliverables, ensuring seamless project execution.
    • Send follow-ups to ensure project activities are completed on time, maintaining a proactive approach to project management.
  • **Communication and Collaboration:**
    • Share project updates and information with team members, fostering a collaborative work environment.
    • Document and track project risks, issues, action items, and decisions, contributing to the project management process.
  • **Administrative Support:**
    • Assist the Project Manager in developing necessary documents, presentations, and reports, ensuring high-quality deliverables.
    • Follow up and track project statuses, updating the project tracking system with relevant information.
  • **Reporting and Analysis:**
    • Create project-related reports from the project work breakdown structure, providing valuable insights for project stakeholders.
  • **Project Scope and Requirements:**
    • Work with Project Managers to document project scope and high-level requirements, ensuring a clear understanding of project objectives.
  • **Communication and Stakeholder Management:**
    • Disseminate project schedule information, ensuring all stakeholders are informed and aligned.
  • **Quality Review and Steering Committee:**
    • Coordinate NextGen quality review and steering committee meetings, capturing notes and action items for dissemination.
  • **Project Artifacts and Documentation:**
    • Ensure all project-related artifacts are stored in the proper location within the NextGen Project SharePoint site.
  • **Issue Tracking and Communication:**
    • Assist in tracking, monitoring, and communicating project-related issues, scope changes, variances, and contingencies.
  • **Communication and Teamwork:**
    • Maintain effective communication and working relationships with project team members, promoting a positive and productive work environment.

Requirements:

To be successful in this role, you will need:

  • A Bachelor's degree in a related field from an accredited college or university, or an Associate's degree with three years of IT-related experience.
  • One year of IT-related experience, or an equivalent combination of education and job-specific experience.

Preferred Qualifications:

The ideal candidate will possess:

  • Experience using Microsoft Project or Microsoft Project Online.
  • Proficiency in using Outlook, Visio, and the Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
  • Excellent written, oral, and presentation skills.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to communicate effectively with management, business, and technical personnel.
  • Ability to work through conflict and maintain a positive attitude.
  • An eye for detail and excellent grammar.
  • Ability to multi-task and prioritize tasks effectively.
