Job Summary

The HIM Operations Supervisor plays a crucial role in overseeing the daily functions of the Health Information Management Department at UofL Health. This position is responsible for supervising, organizing, and coordinating the daily operations and staffing needs of the Department, ensuring compliance with State and Federal Regulatory requirements.

Key Responsibilities
  • Provide oversight and guidance to Health Information Management Operations staff
  • Identify and implement changes regarding policy, productivity, and quality measures
  • Coordinate staffing issues and procedural issues with the HIM Director
  • Comply with hospital and departmental dress code and wear a name badge with job title and credentials clearly visible
  • Assist the HIM Director with evaluating staff performance on an annual basis
  • Train, provide feedback, evaluate, and provide corrective action to staff as needed
  • Respond to inquiries from staff, patients, physicians, and internal and external customers
  • Arrange coverage for call-ins and stand in to cover the schedule for call-ins on a daily basis
  • Identify training development needs and plan and supervise appropriate training, education, and department orientation
  • Work with the HIM Director to establish productivity standards and provide concurrent feedback on job performance
  • Maintain a working knowledge of CMS and Joint Commission regulatory standards, federal and State Regulations, HIPAA/HITECH statutes, and facility and department policies regarding the storage, privacy, security, confidentiality, and release of patient protected health information (PHI)
  • Plan and facilitate employee engagement initiatives and maintain high employee morale
  • Assist with educating providers, including attending physicians and nurse practitioners, to ensure improvement of and compliance with documentation standards
  • Provide input on department goals and objectives and assist with maintaining overall compliance
  • Effectively monitor documentation compliance with Joint Commission Record of Care Standards
  • Model all Core Behavior standards, including routinely rounding on staff
  • Interact as a team member representing HIM and attend meetings as directed
  • Ensure staff maintain a positive customer service attitude
  • Prepare, oversee, and approve work schedules
  • Complete annual competency evaluations timely
  • Verify and reconcile timecards
  • Perform other duties and projects as assigned
Qualifications
  • High School education or GED required
  • Must have a minimum of an associate degree in HIT and maintain either an AHIMA RHIA or RHIT credential
  • A minimum of 2 years prior HIM leadership experience preferred
  • At least 2 years in an acute care facility directly related to HIM
  • 1-year experience in hospital-based electronic medical record
