Position Summary
The Customer Support Specialist plays a vital role in ensuring seamless sales operations, nurturing positive customer relationships, and supporting the sales team in meeting their objectives. This role demands exceptional communication, organizational, and problem-solving abilities to guarantee customer satisfaction and contribute to the company's success.
Key Responsibilities
- Manage EDI sales order processes, including purchase order confirmations, entry, and invoicing.
- Create and maintain customer order guides as necessary.
- Input new customer information and sales data for existing or new clients through all EDI systems.
- Leverage our CRM system to automate routine tasks, such as sending follow-up emails based on established protocols.
- Respond promptly and professionally to customer inquiries, providing essential product and pricing information, as well as order status updates.
- Assist customers in placing orders, resolving issues, and addressing concerns to ensure a positive experience.
- Collaborate with various internal teams to ensure timely order fulfillment and delivery.
- Develop a comprehensive understanding of the company's products and services to effectively communicate their features and benefits.
- Act as a liaison between customers, sales, and internal departments to resolve any issues during the sales process.
- Review and process credit memos and freight claims through appropriate channels.
- Identify opportunities to enhance and streamline sales processes for improved efficiency and customer satisfaction.
- Distribute invoices and follow up on overdue accounts.
- Monitor inventory levels and communicate sales needs to the supply chain team.
- Collaborate with cross-functional teams to implement best practices and improvements.
- Assist in training new team members on processes, tools, and systems.
- Adhere to company policies and procedures.
- Maintain a positive and respectful demeanor in all interactions.
- Communicate regularly with supervisors regarding departmental issues.
- Demonstrate effective time management and prioritization skills.
- Consistently arrive at work on time, prepared to fulfill job responsibilities.
- Meet departmental productivity standards.
- Perform additional duties as required.
Scope of Responsibility
This position may involve access to confidential data, including customer quotes and product costs. The role follows established practices and procedures, expected to complete tasks with minimal supervision.
Knowledge and Skills Required
- Language Skills: Ability to read and interpret safety rules, operating instructions, and procedure manuals. Capable of writing routine reports and correspondence, and effectively communicating before groups.
- Mathematical Skills: Proficient in calculating figures such as discounts, interest, and percentages.
- Reasoning Skills: Ability to solve practical problems and interpret various instructions.
- Computer Skills: Proficient in Microsoft Office Suite.
Education and Experience
High school diploma or GED; or two to three years of related experience and/or training; or an equivalent combination of education and experience.
Physical Demands
The employee may occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision. Regular tasks involve sitting, using hands, reaching, and talking or hearing, with occasional standing and walking.
Work Environment
Work is performed in various settings, with frequent disruptions. The noise level may vary.
