Position Summary: The Client Relations Specialist serves as the primary point of contact for customers, contractors, and visitors, ensuring a welcoming and professional environment at the Property Management Office.

Key Responsibilities:

  • Deliver exceptional service to clients, ensuring a Class A experience with every interaction.
  • Foster and maintain positive relationships with customers through responsive and quality service.
  • Monitor customer engagement and satisfaction through various indicators, including move-ins and move-outs.
  • Assist in organizing and executing customer appreciation events.
  • Coordinate customer communications, including holiday greetings and important notifications.
  • Prepare welcome packages and letters for new clients.
  • Support the Managing Director with various administrative tasks, such as managing calls, processing reports, and scheduling appointments.
  • Ensure that the reception area is managed professionally, greeting visitors and directing them appropriately.
  • Handle correspondence and manage customer mailings efficiently.
  • Maintain operational efficiency of phone and internet systems.
  • Perform clerical duties, including ordering supplies and maintaining logs.
  • Receive and dispatch service requests to the appropriate personnel.
  • Update and manage the Yardi Work Order System and Building Website.
  • Be knowledgeable about emergency procedures to assist clients during critical situations.

Qualifications:

  • High school diploma or GED required; Bachelor's degree preferred.
  • A minimum of two years of experience in a customer service role is essential.
  • Experience in the real estate sector is preferred.
  • Exceptional customer service and interpersonal skills are a must.
  • Strong organizational and problem-solving abilities.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, and Access).
  • Familiarity with Yardi software is advantageous.
