Qualifications:

  • Typically requires a bachelor's degree in Purchasing, Supply Chain, Business, English, Computer Science, Economics, or other related fields, along with 5 - 8 years of experience in supply management.
  • A Master's Degree in Business Administration or other advanced academic qualifications is highly desirable.
  • A valid California driver's license is mandatory.
  • Experience in materials and/or services procurement, with a successful track record of handling purchases over a specified value, and/or 2 - 4 years of expertise in specific services and/or materials.
  • Certification as a Certified Purchasing Manager (CPM) or similar professional credential in Supply Management is preferred.
  • Strong knowledge and application of contracting and supply management principles.
  • Familiarity with contract management and/or accounting systems is essential.
  • Proficient in Microsoft Word, PowerPoint, Outlook, and Excel applications.
  • Excellent communication skills, with the ability to seek input from others and present information clearly and logically.
  • Ability to anticipate and identify customer needs, ensuring responsiveness to both internal and external clients, while striving to enhance customer satisfaction.
  • Significant contribution to team goals and objectives, valuing the input of all team members and encouraging collaborative participation.
  • Systematic gathering of relevant information, defining issues broadly, and understanding the complexities and interrelationships of various factors.
  • Demonstrates personal integrity in all communications, decisions, and actions.

Responsibilities:

  • Support staff within the Supply Operations team.
  • Manage and execute daily procurement transactions, including Purchase Orders and other agreements for materials and services, while resolving any invoicing and billing issues that may arise.
  • Create, negotiate, and execute Purchase Orders, Releases, Amendments, Assignments, and other types of contracts, primarily for services and some materials, utilizing company systems and approved templates/procedures.
  • Experience with SAP Ariba Sourcing Software and SAP Ariba Contracts Management Software is highly desirable.
  • Oversee the setup and maintenance of new suppliers.
  • Assist clients through ongoing contact regarding proper contract management and administration principles.
  • Collaborate closely with internal support teams, including the Law Department, Accounts Payable, and Risk Management.
  • Resolve conflicts between suppliers and the company.
  • Ensure continuous improvement in procurement processes, focusing on simplification and compliance, while maintaining documentation through tracking spreadsheets.
  • Maintain records to demonstrate adherence to proper protocols in contracting processes and supplier relationship management.
  • Optimize the use of all Purchase to Pay tools.
  • Address Purchase Order and invoicing issues as they arise.
  • Emphasize contributions to Supplier Diversity and Diverse Business Enterprises (DBE) goals.
  • Establish and maintain collaborative relationships with teams and suppliers to reduce overall costs.
  • Perform additional Supply Management duties and tasks as assigned.
