Position: Medical Receptionist
Compensation: $17.00 per hour
Reporting To: Office Manager
Employment Type: Full-Time, Non-Exempt, 40 hours per week
Work Schedule: Monday to Friday, 8:30 AM - 5:30 PM, with one late shift on either Tuesday or Thursday until 7:00 PM
Role Summary:
- The Medical Receptionist plays a vital role in providing administrative support within a behavioral health facility.
- Responsibilities include welcoming clients and visitors, managing appointment scheduling both in-person and virtually, making reminder calls, processing payments, and handling incoming calls while ensuring documentation is systematically organized.
- Perform a variety of routine clerical tasks such as filing, photocopying, faxing, maintaining office supplies, and sorting and distributing mail.
- Additional duties may be assigned as necessary.
Qualifications:
- High school diploma or equivalent required.
- Minimum of one year of full-time clerical experience or completion of a clerical training program with an internship component.

Key Responsibilities:
- Primary duties include managing client check-ins and check-outs.
- Conduct reminder calls for upcoming appointments.
- Perform accurate data entry and reception tasks, including providing information about clinic procedures, collecting fees, and taking detailed messages.
- Maintain accurate records of daily fee collections, including service fees and copays.
- Review documents for completeness and compliance with established standards.
- Organize and file materials in accordance with guidelines.
- Keep track of time and benefit usage, as well as employee training records.
- Adhere to privacy practices and HIPAA regulations to ensure client confidentiality.
- Support fellow Office Specialists in completing daily tasks.
Required Skills:
- Proficient in grammar, spelling, and punctuation to ensure accuracy in correspondence and reports.
- Familiarity with word processing and database management software.
- Understanding of office practices for effective interaction with staff and the public.
- Basic arithmetic skills for verifying calculations.
- Ability to operate office equipment efficiently.
- Capacity to learn and adhere to established procedures.
- Skill in providing basic information and guidance to clients and the public.
- Ability to collect and document fees accurately.
- Strong interpersonal skills to foster collaborative relationships with clinical and clerical staff.
