Job Overview

Based in our Los Angeles office, this role provides executive support to Partners and Associates in the LA and Austin offices via direct interaction and/or via our US HUB. The successful candidate will be responsible for providing administrative support, managing documents, and coordinating small client events.

Key Responsibilities
  • Document Management: Locate, file, and manage documents in our document management system.
  • Administrative Support: Provide administrative support to Partners and Associates, including making minor amendments to documents, creating and amending documents from various formats, and managing the monthly billing process.
  • Research and Client Intelligence: Conduct research and gather client intelligence to support pitches, marketing, events, briefing packs, and approaches.
  • Event Coordination: Assist with the coordination of small client events, including arranging meeting facilities, resources, and amending materials or documents.
  • Travel and Expenses: Make and manage travel arrangements and manage and submit expenses for Fee Earners.
  • Office Administration: Support the Office Administrator with day-to-day tasks and activities, including liaising with building management, assisting with onboarding and IT requirements, and facilitating service, mail, stationery, and other needs for the LA and Austin offices.
Requirements
  • Minimum 4 to 6 years of office services experience in a professional services environment.
  • Proactive in anticipating problems before they arise, initiating projects that provide improvements and long-term solutions.
  • Ability to work independently, multi-task, and prioritize effectively.
  • Strong detail orientation, time management, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and projects in a fast-paced environment.
  • Ability to work co-operatively and flexibly with a varied team of people.
