Position Overview: Executive Assistant for Property Management

We are looking for a detail-oriented and proactive Executive Assistant to provide extensive administrative support to our property management division. The successful candidate will excel in multitasking, possess outstanding communication abilities, and demonstrate a strong attention to detail. This role is vital for maintaining the seamless operation of our office and enhancing the productivity of our leadership team.

Key Responsibilities:

  • Manage executives' calendars, including organizing meetings, appointments, and travel logistics.
  • Prioritize and coordinate incoming communications, including emails and phone calls, ensuring timely responses.
  • Prepare and refine correspondence, reports, presentations, and various documents, ensuring high standards of accuracy and professionalism.
  • Assist in organizing meetings and events, including logistics, agenda preparation, and minute-taking.
  • Conduct research and compile relevant information for various projects and initiatives.
  • Act as a liaison between management and internal/external stakeholders, fostering positive professional relationships.
  • Handle sensitive information with the utmost discretion and professionalism.
  • Anticipate team needs and proactively provide support to enhance operational efficiency.
  • Manage special projects and initiatives as assigned.
  • Perform general administrative duties, including filing, copying, scanning, and supply management.

Qualifications:

  • Bachelor's degree preferred or equivalent professional experience.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Exceptional organizational and time management skills, with the ability to prioritize effectively.
  • Strong written and verbal communication skills, demonstrating a high level of professionalism.
  • Meticulous attention to detail and accuracy in all tasks.
  • Ability to adapt to changing priorities and situations with flexibility.
  • Strong critical thinking skills and the capability to work independently with minimal supervision.
