Job Summary

We are seeking an experienced Administrative Assistant II to provide administrative support and coordination for the Facilities-Repair and Maintenance area at the Massachusetts Institute of Technology.

Key Responsibilities
  • Review and follow up on work orders, updating the work order system as necessary
  • Maintain equipment records and produce reports and charts to support team operations
  • Process purchase order requisitions, requests for payment, and reimbursements in a timely and accurate manner
  • Coordinate shutdown requests and notifications, communicating effectively with the MIT community
  • Respond to inquiries, compose and edit correspondence, and design presentations to support team needs
  • Assist with new employee onboarding, coordinating appointments, meetings, and trainings as required
  • Attend meetings, record, interpret, draft, and distribute minutes to ensure team awareness and understanding
Requirements
  • High school diploma or equivalent, with at least three years of administrative, office, or related experience
  • Understanding of own role and ability to represent and recognize the needs of the unit and how those needs impact other areas at MIT
  • Excellent interpersonal and communication skills, with attention to detail, thoroughness, and accuracy
  • Self-motivation and ability to work in a team-oriented environment, with advanced-level computer skills and ability to easily navigate the internet
Preferred Qualifications
  • Associate's degree and familiarity with SAP
