Overview

The Sales Operations Specialist plays a crucial role in managing the logistics, inventory, and distribution of perishable seafood products. This position involves entering data from processing facilities into the sales and inventory management system, monitoring product movement, and ensuring accurate documentation for daily sales operations. The specialist is responsible for invoicing clients and preparing both domestic and international shipping paperwork, as well as coordinating freight logistics. Additionally, this role includes developing sales and shipping schedules, reconciling inventory records with third-party warehouses, and addressing any discrepancies. The specialist will also collaborate with fellow sales coordinators to ensure adequate coverage during busy periods and absences.

This position is classified as non-exempt, meaning overtime compensation is provided, and reports directly to the VP of Human Resources and Administration.

Key Responsibilities
  • Manage all aspects of inventory, logistics, storage, shipment, and tracking of seafood sales while providing reports on product commitments and sales performance.
  • Input inventory data from processing plants into the sales and inventory system and monitor product flow.
  • Review sales orders and coordinate product shipments to fulfill customer requirements, maintaining direct communication with clients regarding order status.
  • Prepare and issue essential documentation, including invoices, bills of lading, customs forms, and international certificates for exported goods.
  • Reconcile internal inventory records with third-party warehouse data and resolve any discrepancies that arise.
  • Continuously seek to enhance processes and documentation for efficiency.
  • Build and maintain professional relationships with colleagues, vendors, and customers.
  • Represent the company in a professional manner during all interactions.
  • Ensure accurate, compliant, and organized management of both paper and electronic business records.
  • Perform additional duties as assigned.

Qualifications

To be considered for this position, applicants must meet the following criteria:
  • Authorized to work in the United States.
  • Minimum of one year of experience in perishable export logistics.
  • Ability to perform detailed and accurate high-volume data entry.
  • Proficient in creating, maintaining, and modifying Excel reports, including the use of pivot tables.
  • Effective verbal and written communication skills in a professional context.
  • Strong critical thinking abilities and the capacity to maintain composure under pressure.
  • Basic mathematical skills, including addition, subtraction, multiplication, division, and percentage calculations.
  • Demonstrated reliability and punctuality in attendance.
  • Ability to work independently and assist colleagues during peak periods.
