Position Summary

West Michigan Dermatology is in search of a dedicated, reliable, and team-oriented Patient Services Coordinator to join our dynamic dermatology practice. The ideal candidate will be self-driven and capable of managing multiple tasks while embodying our commitment to delivering compassionate service and outstanding care to our patients.

Key Responsibilities

  • Ensure efficient check-in and check-out processes for patients, welcoming them with a friendly attitude and confirming that all follow-up appointments are arranged prior to their departure.
  • Facilitate the registration process by verifying patient demographics and insurance details, and collecting co-pays and outstanding balances as necessary.
  • Oversee patient flow by effectively communicating with patients and clinical teams regarding any issues that may impact appointment schedules.
  • Perform general office tasks such as maintaining the cleanliness of the waiting area and restrooms, emptying shred bins, and distributing mail and internal documents as required.
  • Provide patients with necessary information and literature to ensure they are well-informed about their visit, including details about procedures, lab work, or billing matters.
  • Handle incoming calls, assisting with appointment scheduling, cancellations, medical records requests, and referral inquiries.
  • Execute additional tasks as directed by management.

Qualifications and Skills

  • Proficient in English grammar, spelling, and punctuation.
  • Experienced in using various computer applications and software.
  • Able to listen, read, comprehend, and follow both oral and written instructions.
  • Effective communication skills, both verbal and written.
  • Capable of establishing and maintaining positive relationships with colleagues, physicians, and management.

Education and Certification

A high school diploma is required; an associate's degree is preferred. Candidates with prior experience in a medical office setting will be given preferential consideration, although we are open to training the right individual.

Physical Requirements

The role requires the ability to stand, walk, and sit for extended periods. Occasionally, the employee may need to lift or move items weighing up to 15 pounds.

HIPAA/PHI Security Level: HIGH

This position necessitates access to Protected Health Information (PHI) to perform essential responsibilities, including access, utilization, disclosure, storage, and disposal of PHI.
