Medical Office Coordinator

We are seeking a highly skilled and organized Medical Receptionist to join our team at Piedmont Healthcare PA. The ideal candidate will have a strong background in customer service and experience working in a medical office setting.
The Medical Receptionist will be responsible for providing exceptional patient care, managing front desk operations, and maintaining accurate records. Key Responsibilities- Greets patients and visitors in a polite and professional manner, providing necessary instructions and directions.
- Completes necessary paperwork, including encounter forms, and uses computer systems to generate information for billing.
- Updates patient information, collects co-pays, and provides necessary forms for completion.
- Maintains a clean and organized waiting area, including reading materials and supplies.
- Answers phone calls in a pleasant manner, addressing customer needs promptly and efficiently.
- Assists with photocopying, computer input, and scheduling laboratory or radiology work as directed.
- Counts cash drawer daily and makes bank deposits as necessary.
- Opens and closes the office at appointed times, ensuring a secure and welcoming environment.
- Collects, sorts, distributes, and prepares mail as assigned by the office.
- Key charges and makes edits as necessary, following office procedures.
- Checks and maintains office supply inventory, ensuring adequate stock levels.
- Prepares prescriptions for pharmacies as assigned by the office.
- Maintains HIPAA compliance at all times, handling sensitive patient information with confidentiality and care.
- Attends office staff meetings, records minutes, and maintains a file accessible to all staff.
Education:
High school diploma or equivalent required.
Experience:
Minimum one year of customer service experience, with at least six months in a healthcare setting.
Preferred:
50 wpm typing skill.
Knowledge and Skills:
- Knowledge of reception tasks, clinic policies, and procedures.
- Knowledge of office equipment, including phones and computers.
- Knowledge of customer service concepts and techniques.
- Skill in using office equipment efficiently and handling paperwork/filing effectively.
- Skill in creating a pleasant waiting room atmosphere through customer service principles.
- Ability to communicate clearly in person and on the phone, establishing/maintaining cooperative relationships with patients, families, physicians, staff, and other customers.
- Ability to organize and prioritize tasks effectively.
- Ability to read, understand, and follow oral and written instructions, filing correctly by alphabetical or numeric systems.
Office setting, well-ventilated and well-lit.
Physical and Mental Demands:
Sitting/standing for extended periods, requiring eye-hand coordination, finger dexterity, and the ability to view computer screens for long periods. Occasional stress related to workload and customer issues.
