About the Position:

The local Research Administration at George Mason University provides post-award services to faculty engaged in research. The Post-Award Research Coordinator is tasked with overseeing post-award functions for a designated portfolio of grants and contracts across various units (e.g., school, department, division, institute, or center). This role requires expertise in grant and contract management regulations, technical proficiency, and analytical capabilities. Key post-award responsibilities include regular monitoring, reconciliation, and forecasting of award finances, preparing budget adjustments, generating financial reports, and ensuring compliance with all financial obligations at the conclusion of the award.

This position necessitates minimal supervision, a proactive approach to collaboration with investigators, and effective communication with the Office of Sponsored Programs (OSP). Adherence to standard operating procedures and training is expected.

Responsibilities:

Key responsibilities include, but are not limited to:

  • Upon award acceptance, define account establishment parameters, including billing and reporting requirements, budget, and cost-sharing obligations. Set up the award in the financial system.
  • Disseminate award information to Principal Investigators (PIs), co-PIs, and relevant staff.
  • Coordinate with necessary personnel to adjust payroll for all budgeted positions, including cost-sharing roles.
  • Review and reconcile award expenditures and budgets, making necessary adjustments.
  • Project and forecast future award expenditures.
  • Manage budget, reporting, and compliance timelines throughout the lifecycle of the grant or contract.
  • Maintain regular communication with PIs regarding budget and expense adjustments.
  • Prepare invoices for sponsors as required.
  • Assist PIs with non-financial report submissions as needed.
  • Coordinate and submit requests for No Cost Extensions, Carryover, rebudgeting requests, changes in scope, and other modifications to the award, ensuring compliance with sponsor guidelines and University policies.
  • Facilitate the approval of invoices for subcontractors.
  • Review effort reports and manage the quarterly effort certification process for assigned units.
  • Apply federal and university regulations to manage effort allocation for individuals compensated wholly or partially from federal awards.
  • Assist in transferring awards out of the university.
  • Ensure the closeout of all funded projects in accordance with university processes and timelines.

Required Qualifications:

  • High school diploma or equivalent.
  • Considerable progressive experience in grants and contracts management.
  • Knowledge of federal regulations related to research grant and/or contract activities.
  • Familiarity with University policies and procedures regarding grants and contracts.
  • Understanding of financial processes and controls, including reconciliation.
  • Demonstrated ability to learn complex electronic systems.
  • Knowledge of customer service principles in financial management and accounting.
  • Excellent oral and written communication skills, along with strong interpersonal skills.
  • Proficiency in computer use, particularly MS Office Suite (Word, Excel, PowerPoint).
  • Ability to analyze data and draw conclusions.
  • Capacity to adapt to evolving technologies related to grants and contract management.
  • Ability to manage and prioritize multiple projects/tasks simultaneously.
  • Capability to produce high-quality written documents.
  • Proactive problem-solving skills.
  • Ability to work under pressure and meet deadlines.
  • Collaborative approach to working with other post-award specialists.
  • Understanding of costing rules and regulations for federally funded projects.
  • Ability to mentor staff for professional development.

Preferred Qualifications:

  • Bachelor's degree in a related field.
  • Experience in Sponsored Programs Administration or a related field.
  • Familiarity with the Banner Financial system or demonstrated ability to learn complex electronic systems.
