Growth Works Inc. is in search of a Part-Time Administrative Support Specialist to enhance our operational team. The core working hours are Monday to Friday from 9 AM to 2 PM, with some flexibility available.

Position Objective

This job description outlines the essential functions assigned by management; it does not limit the tasks that may be allocated.

Key Responsibilities

  • Welcome visitors and clients with professionalism and courtesy.
  • Handle incoming phone calls; direct calls to appropriate staff and management, including taking messages and forwarding calls.
  • Serve as the initial point of contact for new clients entering the facility.
  • Coordinate scheduling for intake interviews, assessments, and visitation sessions.
  • Accurately input and manage case notes in internal databases in a timely manner.
  • Provide administrative support to management as needed.
  • Utilize internal systems to assist in the development and tracking of client files.
  • Maintain accurate records of incoming cash payments for bank deposits.
  • Sort and distribute incoming mail and manage outgoing correspondence.
  • Perform specific data entry, collection, and reporting tasks as assigned.
  • Exercise independent judgment to recommend and implement improvements in office organization and equipment usage.
  • Collaborate with the main office to monitor and maintain office supplies.
  • Assist in orienting new staff members.
  • Support the preparation and setup for internal meetings.
  • Complete clerical tasks as requested by management.
  • Engage in additional activities as directed by the Program Director and Supervisor.

Qualifications

  • High school diploma or GED required; bachelor's degree preferred.
  • Two to three years of experience in a human services environment as an administrative assistant or receptionist is highly preferred.
  • Proficient computer skills, including experience with Excel and other database applications.
  • Experience in data entry and reporting processes.
  • Highly organized, self-motivated, and detail-oriented with a proactive approach.
  • Exceptional customer service skills for both internal and external interactions.
  • Demonstrated proficiency in the MS Office Suite for drafting communications and documents.
  • Strong oral and written communication abilities.
  • Ability to multitask, prioritize, and address concerns in a dynamic environment.

Physical Requirements:

  • Ability to perform manual tasks requiring dexterity for data entry and retrieval using office equipment.
  • Capability to lift and transport materials weighing up to 25 lbs. for documentation and administrative tasks.
