Salary Information
The estimated annual salary for this position is $43,680. This is a full-time, in-person position requiring Monday through Friday presence from 9am to 5:30pm with some overtime expected.
Job Description
- Provide front desk coverage, including greeting visitors and receiving mail and packages.
- Offer administrative support to the COO and Corporate team, including calendar management and meeting coordination.
- Maintain a clean and tidy office environment at all times.
- Ensure the accuracy and maintenance of internal resource systems and documents.
- Manage incoming and outgoing emails, letters, packages, and other forms of correspondence.
- Coordinate conference room scheduling, setup, and cleanup.
- Facilitate maintenance, repairs, and cleanings for the office and equipment.
- Plan and coordinate company events, including weekly lunches, holiday parties, and anniversary celebrations.
- Handle vendor relationships, submit work orders, and schedule/manage vendors as needed.
- Recommend operational efficiencies and create clear guides to ensure consistency.
- Monitor and order office supplies, snacks, and miscellaneous items.
- Assist with employee onboarding/offboarding, including equipment distribution and collection.
- Collaborate with Corporate teams to ensure seamless office operations.
- Track and reconcile expenses in a timely manner.
- Offer assistance to colleagues whenever possible.
Required Skills and Qualifications
- Prior experience as an office administrator, coordinator, or relevant role.
- Exceptional communication and interpersonal skills.
- A proactive, responsive approach with a willingness to go above and beyond.
- Excellent organizational and leadership abilities.
- Familiarity with office management procedures.
- Strong knowledge of MS Office and office management software.
- Effective time-management and multitasking skills.
- Experience managing expenses.
- Able to maintain confidentiality and attention to detail.
