Job Overview:

The Program Operations Specialist plays a crucial role within the Flexible Load Program Implementation Team, providing essential support for daily operations and special initiatives. This role collaborates closely with product and program managers to ensure effective program execution and to foster ongoing enhancements in processes.

Key Responsibilities:

  • Project Consultation and Strategy: Collaborate with project leaders to ensure alignment with strategic goals, cost efficiency, and the minimization of operational disruptions. Assist in defining project objectives and scope, and contribute to the development of business cases.
  • Project Coordination: Oversee the daily operations of multiple projects, including the preparation and maintenance of project plans and schedules, tracking essential metrics, managing budgets, and establishing project documentation systems.
  • Team Collaboration: Provide proactive support by organizing meetings, creating agendas, distributing materials, documenting minutes, and tracking project assignments.
  • Project Oversight: Maintain and update project plans, monitor budgets, and alert program managers to significant changes or issues.
  • Stakeholder Engagement: Facilitate meetings with internal and external stakeholders, ensuring documentation of actions and decisions, and assist in creating communication materials.
  • Process Enhancement: Support business process improvement initiatives by collaborating with managers and experts to identify and refine processes, and assist in measuring the success of these improvements.
  • Documentation and Reporting: Prepare project communications, including progress reports and presentations, and ensure proper organization and archiving of project documents.
  • Internal Collaboration: Work alongside product specialists and program managers to enhance project management capabilities across the organization.

Qualifications:

  • Required Skills:
    Familiarity with the utility or energy efficiency sector is preferred.

    2. Strong attention to detail
    3. Proven customer service experience
  • Desirable Skills:
    1. Proficient research and report-writing abilities
    2. Experience in coordinating multidisciplinary teams
    3. Knowledge of project and program management principles
  • Education:
    Associates or Bachelor's degree, or equivalent relevant experience.
  • Experience:
    2-5 years in a related field.
