Key Responsibilities of the Office Coordinator include:
Welcoming and assisting visitors and clients both in person and via phone.

Responding to inquiries, redirecting calls, and taking messages as needed.

Ensuring the front desk area is tidy and presentable.

Maintaining an adequate supply of necessary materials and forms.

Receiving and distributing mail and packages.

Coordinating meetings, travel arrangements, and appointments for team members.

Keeping employee and departmental directories current.

Reviewing, coding, and processing vendor invoices accurately, while liaising with relevant staff for correct coding. (Knowledge of accounting is advantageous)

Creating and managing new vendor accounts.

Addressing vendor inquiries promptly.


Performing various administrative tasks such as ordering supplies, ensuring stocked items for visitors and staff, and handling miscellaneous duties throughout the day.

Proficiency in Microsoft Office applications is required.

Strong time management and organizational capabilities.

Meticulous attention to detail.

Ability to work autonomously and prioritize effectively.

Strong analytical skills.

Willingness to undertake special projects as assigned.
