Job Overview

Heritage Capital Corporation is seeking a dedicated professional to join our team as a Corporate Events Support Specialist. This role is pivotal in assisting the Director of Corporate Events with the planning and execution of various corporate functions, including trade shows, appraisal events, and employee showcases.

Key Responsibilities

Trade Show Assistance:

  • Application & Payment Management: Facilitate the processing of applications and payments.
  • Budget Oversight: Aid in tracking expenses and generating budget reports.
  • Supply Management: Assist in the procurement and management of trade show materials.
  • Logistics Coordination: Ensure timely shipping and delivery of event materials.
  • Marketing Content Development: Support the creation and approval of promotional materials.
  • Website Maintenance: Help update trade show information on the corporate website.
  • Inventory Management: Oversee the inventory and reprinting of marketing collateral.
  • Material Condition Monitoring: Ensure all trade show materials are well-maintained.
  • Data Analysis: Assist in tracking trade show costs and return on investment.

Appraisal Event Support:

  • Calendar Coordination: Help manage the schedule for appraisal events.
  • Staffing Logistics: Assist in organizing staffing for events.
  • Supply Oversight: Support the management of supplies for events.
  • Shipping Management: Coordinate logistics for appraisal consignments.
  • Catering Arrangements: Assist in organizing catering services for events.
  • Travel Coordination: Help arrange travel accommodations for staff.
  • On-Site Support: Provide initial training for event staff.
  • Consignment Tracking: Support the management of consignment items.
  • Record Maintenance: Assist in keeping accurate records with the data team.
  • Promotional Material Oversight: Help manage the approval process for promotional content.
  • Website Updates: Assist in posting event details online.
  • Material Maintenance: Ensure all event materials are in good condition.
  • Cost Tracking: Help monitor expenses and ROI for events.

Annual Employee Art Showcase Support:

  • Communication Management: Assist in disseminating deadlines and requirements.
  • Participant Engagement: Support recruitment and engagement of participants.
  • Entry Management: Help log and categorize entries for the showcase.
  • Setup Coordination: Assist in organizing setup with gallery personnel.
  • Schedule Management: Help coordinate schedules for jurors and receptions.
  • Ballot Preparation: Assist in creating and distributing voting ballots.
  • Awards Management: Support the coordination of awards with HR.
  • Announcement Coordination: Help announce winners company-wide.
  • Event Participation: Attend meetings and luncheons as required.
Qualifications
  • Minimum of 1 year of relevant experience preferred.
  • Interest in Fine and Decorative Arts.
  • Proficiency in Microsoft Office applications, particularly Outlook and Excel.
  • Strong multitasking abilities and attention to detail.
  • Physical capability to lift up to 50 pounds.
