The Sourcing Specialist plays a crucial role in supporting internal stakeholders by managing the procurement of products and services, implementing strategic sourcing initiatives, achieving cost efficiencies, overseeing contract management, and fostering supplier relationships.
Key Responsibilities:
- Adheres to the Company's Procurement Policies, Procedures, and relevant Texas Laws and Regulations throughout procurement processes.
- Collaborates with internal departments to assess procurement needs and specifications.
- Assists in the administration of contracts and evaluates vendor performance, ensuring thorough documentation and resolution of issues.
- Examines Purchase Requisitions for completeness and compliance with necessary documentation.
- Validates Purchase Requisitions for accuracy and clarity in terminology and specifications.
- Engages with internal teams to define scopes of work, specifications, and compliance requirements.
- Facilitates the creation of RF(x) documents, including Requests for Proposals, Quotations, and Bids, tailored to meet business unit demands.
- Reviews Exempt Forms to assess justification for deviations from competitive bidding processes.
- Coordinates and organizes meetings and site visits with suppliers and internal teams.
- Promotes participation from local, diverse, and small businesses in sourcing events.
- Under management supervision, coordinates the review of customized contract drafts by relevant stakeholders to minimize risk.
- With guidance, reviews and negotiates terms and conditions with suppliers to mitigate potential risks.
- Participates in the decision-making process for contract awards under management supervision.
- Prepares and distributes purchase orders to suppliers and relevant departments.
- Maintains a strong focus on safety in all procurement activities.
- Responds to inquiries from customers and suppliers regarding order status and modifications.
- Maintains and organizes purchasing records, reports, and pricing information.
- Under supervision, compares supplier prices, specifications, and delivery timelines to identify the most advantageous bids.
- Monitors the progress of requisitions, contracts, and orders.
- Performs additional duties as assigned.
- Bachelor's degree in Supply Chain Management, Business Administration, Finance, Accounting, Operations Management, Engineering, Communications, or a related field from an accredited institution, or equivalent experience in Procurement, Contract Management, or a Paralegal role.
- Proficient in Microsoft Office Suite, including word processing, spreadsheets, databases, presentation software, and email communication.
- Experienced in a Microsoft Windows environment.
- Demonstrated ability to work collaboratively in a team setting, coordinating with various departments to achieve organizational goals.
