Job Summary

We are seeking a highly skilled and customer-focused Front Office Agent to join our team at Fairfield Inn & Suites. As a key member of our front desk team, you will be responsible for providing exceptional guest service, ensuring seamless check-in and check-out processes, and maintaining accurate records.

Key Responsibilities
  • Register and assign rooms to guests, ensuring a smooth and efficient check-in process.
  • Verify guest credit and establish payment methods, maintaining accurate records and resolving any discrepancies.
  • Manage guest accounts, including computing bills, collecting payments, and making change.
  • Perform bookkeeping activities, such as balancing cash accounts and posting charges to ledgers.
  • Issue room keys and provide guests with essential information and directions.
  • Review accounts and charges with guests during check-out, ensuring a positive experience.
  • Transmit and receive messages, using telephones or telephone switchboards, to maintain effective communication.
  • Collaborate with housekeeping and maintenance staff to resolve guest issues and concerns.
  • Make and confirm reservations, ensuring accurate and timely communication.
  • Provide guests with information on hotel services, registration, and local amenities.
  • Record guest comments and complaints, escalating issues to management as necessary.

  • Excellent communication and interpersonal skills, with a warm and welcoming demeanor.
  • Ability to work independently and as part of a team, with a focus on providing exceptional guest service.
  • Strong organizational and time management skills, with attention to detail and accuracy.
  • Proficiency in Microsoft Office Professional, with experience in formatting and creating professional documents.
  • Ability to work a variety of shifts, including days, evenings, weekends, and holidays.
Physical and Environmental Demands

This role requires the ability to lift up to 10 pounds, stand for extended periods, and walk throughout the shift. The work environment is indoors, with protection from weather conditions but not necessarily from temperature changes.

Mathematical and Language Skills

This role requires mathematical development sufficient to compute discounts, interest, profit and loss, commission, markups, and selling price. Additionally, the ability to read, write, and speak clearly and accurately is essential.

Relationships to Data, People, and Things

This role involves compiling and reporting information, speaking and signaling with guests and colleagues, and operating and controlling equipment and machines.

Specific Vocational Preparation

Candidates should have proficiency in Microsoft Office Professional, with a focus on Word, PowerPoint, and Excel. Strong organizational skills, creativity, and the ability to prioritize duties to complete within required deadlines are essential.
