Job Summary

We are seeking an experienced Administrative Coordinator to join our Land and Water team at the Lincoln Institute of Land Policy. This is a 37.5 hours/week full-time, exempt position based in our Phoenix, AZ, office.

Key Responsibilities
  • Track and report budget and spending of the land and water impact area of the Lincoln Institute.
  • Coordinate and track all contracts, including procurement, deliverables and payments, associated with programs in the land and water impact area.
  • Implement processes associated with land and water programs receiving federal, state, or private (including NGO) grants.
  • Assist in administrative oversight of the land and water impact area of the Lincoln Institute, such as scheduling staff meetings - including taking notes.
  • Execute Phoenix office support tasks and procedures at daily, monthly, and quarterly intervals as directed by the Lincoln Institute's associate director of facilities and administration.
  • Proactively recognize problems related to our Phoenix office and coordinate with the associate director of facilities and administration, who is based in our Cambridge, MA, office to address them.
  • Support on-site event setup, day-of coordination, and breakdown, as needed, with the Lincoln Institute's events team.
Requirements
  • Two to eight years of experience working in the meeting, planning, and/or administrative-focus position and/or equivalent experience (a college degree can substitute for four years of professional experience).
  • Demonstrated experience with virtual events, including proficiency in the use of event platforms and technology such as Zoom.
  • Ability to execute complex assignments quickly, independently, and proactively.
  • Ability to work independently and effectively with minimal supervision.
  • Can do self-starter who is a creative problem-solver.
  • Strong organization skills through a high-level of accuracy and attention to detail to effectively manage multiple projects with varying timelines to meet varying deadlines.
  • Professional and positive attitude with the ability to maintain composure in a high-energy, fast-paced work environment.
  • Experience working with Salesforce, Canvas, Blackbaud, Asana preferred but not required.
  • Legally authorized to work in the United States.
