Job Overview

DigitalCM LLC is in search of a dedicated full-time Administrative Assistant.

Position Summary

We are looking for a meticulous and organized Administrative Assistant to provide essential support to the Chief Operating Officer (COO) and assist with various office operations. A background in accounting is advantageous, as the role includes opportunities to engage with financial tasks and accounting systems. The successful candidate will demonstrate outstanding communication skills, exceptional organizational capabilities, and the ability to manage multiple responsibilities effectively.

Key Responsibilities

  • Oversee the COO's schedule, arranging meetings, appointments, and travel logistics.
  • Prioritize and coordinate tasks to meet established deadlines.
  • Handle incoming phone calls, emails, and other forms of communication.
  • Assist in organizing and maintaining office documentation and filing systems.
  • Plan and coordinate office events, meetings, and special projects as required.
  • Perform various administrative duties to ensure smooth office operations.
  • Manage confidential information with the utmost discretion.
  • Support basic accounting functions such as data entry, invoice processing, and expense management.
  • Work collaboratively with the accounting team to maintain accurate financial records.

Qualifications

  • A Bachelor's degree in Business Administration, Accounting, or a related field is preferred.
  • Prior experience in an administrative role or similar position is beneficial.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Exceptional organizational and time-management skills.
  • Strong attention to detail and accuracy in all tasks.
  • Ability to maintain confidentiality and manage sensitive information responsibly.
  • Excellent verbal and written communication skills.

Additional Competencies

  • Assist in preparing financial reports and reconciling accounts as necessary.
  • Provide support during audits or financial assessments as needed.
  • Familiarity with accounting principles and experience with accounting software is a plus.
