Position Summary:

The Patient Registration Coordinator is responsible for the precise collection and entry of essential financial and demographic data for all patients registered at our healthcare facility. This role ensures that benefit verification and pre-certification requirements are satisfied prior to patient appointments or admissions. The coordinator will follow up on urgent or unscheduled registrations to maintain consistency in the registration process, ensuring that patients receive accurate information regarding their financial responsibilities.

Key Responsibilities:

  • Collect co-payments and deposits based on verified information, issue receipts, and ensure all cash transactions are properly recorded.
  • Maintain strict confidentiality of patient information.
  • Recommend updates to existing policies and procedures to enhance efficiency and promote data integrity.
  • Process patient type changes in collaboration with Medical Records Staff and Care Coordinators, ensuring proper documentation is available.
  • Verify insurance benefits and obtain pre-certification from various third-party payers, demonstrating extensive knowledge of insurance plan requirements.
  • Efficiently gather all necessary demographic, medical, and financial information for scheduling and registration using the designated computer system.
  • Report any procedural changes or updates to the appropriate leadership.
  • Engage professionally with patients, physicians, visitors, and other hospital staff.
  • Stay informed about regulatory and insurance requirements, incorporating changes into daily operations.
  • Ensure a professional registration process with an accuracy rate of 95 to 100 percent.
  • Provide patients and family members with essential information regarding consent for treatment, advance directives, medical/financial releases, deposit requirements, billing policies, and notices.
  • Recognize situations that require supervision and seek appropriate resources.
  • Demonstrate motivation and productivity in the role.
  • Conduct pre-registration processes via phone and mail, informing patients of any co-pay or deductible amounts due upon admission.
  • Coordinate with Nursing Services to manage the flow of inpatient and observation admissions.
  • Exhibit proficiency in all Information Computer Systems relevant to patient registration.
  • Show initiative to cross-train in all related duties, including registration, verification, and pre-certification.
  • Effectively manage multiple tasks and prioritize responsibilities.
  • Utilize available resources appropriately, including hospital equipment and supplies.
  • Activate manual systems during computer network downtimes and notify leadership of any unscheduled occurrences.
  • Adhere to policies, procedures, and safety standards, completing required education assignments annually.
  • Participate in quality improvement initiatives as requested.
  • Perform additional duties as assigned.

Qualifications:

Minimum Education: No specific educational requirements; any combination of formal education and/or prior work experience demonstrating the necessary knowledge, skills, and abilities to perform essential tasks is acceptable. Preference may be given to candidates with a high school diploma or GED.

Minimum Experience: One (1) year of experience in a hospital or financial setting, or a minimum of three (3) years of total customer-facing/customer service experience is required.
