The Team

We are on the lookout for an Event Planning Specialist who will be instrumental in our team, ensuring the flawless execution of both internal member gatherings and external events at Living Room. In this role, you will engage in every phase of the event process, from initial booking to final execution and follow-up, guaranteeing that each event is a resounding success. Your role demands thorough administrative preparation, with no detail left unattended.

We appreciate an Event Planning Specialist who possesses exceptional organizational skills, a keen eye for detail, a genuine enthusiasm for events, effective communication skills, and a strong cultural awareness. Your proficiency in vendor management will enhance your contributions to this vital position.

The Role
  • Event Material Development: Create and present detailed event materials, including layouts, tailored menus, and schedules.
  • Administrative Responsibilities: Manage various administrative tasks, such as event bookings, drafting Banquet Event Orders (BEOs), sending proposals, scheduling meetings, and coordinating staffing and catering as required.
  • Client Engagement: Conduct site visits with clients, including pre-event walkthroughs, to ensure a comprehensive understanding of their needs, as well as post-event evaluations and follow-ups. Maintain a friendly demeanor while interacting with guests and members.
  • Event Inquiry Evaluation: Address incoming inquiries with relevant questions to determine if the event aligns with our offerings, utilizing the standard operating procedures established by the Events Director.
  • Documentation and Management: Organize, archive, and update event contracts, receipts, partner contact details, and other essential documents.
  • Billing Management: Oversee all event billing and payments, collaborating with the Finance Department and Membership Team through the CRM platform and POS system as necessary.
  • Event Implementation: Support the Food & Beverage team and manage the events team during the event.
  • Additional Responsibilities: Undertake any other tasks assigned by direct supervisors.
The Ideal Candidate:
  • A passion for creating memorable events that provide unique and impactful experiences for attendees.
  • A solid understanding of event planning and coordination, including logistics, vendor management, and the ability to execute events seamlessly from start to finish.
  • Strong organizational and multitasking abilities, with attention to detail and the capacity to manage various aspects of event coordination.
  • The ability to work collaboratively with diverse teams, communicate effectively, and ensure that every detail aligns with the event's overall vision.
  • Experience in event coordination across various settings, demonstrating a proven ability to bring creative ideas to fruition.
Requirements
  • A minimum of 3+ years of experience in planning and executing both large and small-scale innovative events tailored to specific needs.
  • Proven ability to excel in a high-volume, demanding, and fast-paced environment, showcasing effective multitasking skills.
  • Exhibit leadership qualities, creativity, and the ability to foster strong relationships within diverse teams.
  • Maintain a flexible schedule, with the ability to work during days, nights, weekends, and holidays as needed.
  • Resilience in high-pressure situations and a commitment to delivering exceptional experiences.
  • Experience with Tripleseat is a plus.
  • Familiarity with membership club dynamics and experience interacting with high-profile guests.
