Position: Customer Service Representative
Key Responsibilities:
- Handle and resolve escalated customer inquiries, complaints, and issues related to billing and service functions.
- Process customer invoices, adjustments, and payments using the designated billing software.
- Manage general phone inquiries, transfer calls, and maintain accurate records.
- Coordinate instructions for field technicians and arrange necessary service calls.
- Schedule service appointments and maintain work calendars for service personnel.
Qualifications:
- High School Diploma or equivalent is mandatory.
Experience Required:
- 1-2 years of experience in a customer service role within an office environment.
Essential Skills:
- Exceptional telephone communication skills.
- Strong interpersonal abilities.
- Proficient in computer applications, particularly Microsoft Word and Excel.
- Effective verbal and written communication skills.
- Strong problem-solving capabilities.
- Valid driver's license is required.
- Able to manage multiple tasks and prioritize effectively.
- Capable of working under pressure while meeting deadlines.
Core Responsibilities:
- Adhere to the company's safety policies and procedures.
- Ensure all incoming calls are answered in accordance with company standards.
- Address all customer inquiries and complaints promptly.
- Schedule and relay service orders to technicians.
- Verify the completion of all service orders.
- Process customer payments, prepare daily financial reports, and maintain cash records.
- Open and sort incoming correspondence.
- Maintain accurate customer files.
- Manage the collections process in line with business protocols.
- Calculate and process customer billing adjustments.
- Comply with all company policies, procedures, and standard operating practices.
- Perform additional clerical tasks as required.
- Other duties as assigned within the scope of the position.
Physical and Mental Requirements:
- Ability to sit for extended periods while using a computer.
- Must possess clear vision, hearing, and verbal communication skills.
- Ability to read, write, and perform basic mathematical calculations.
- Bi-lingual skills are a significant advantage but not mandatory.
Work Schedule:
Full-time position, typically Monday through Friday, with standard working hours and occasional weekend duties as necessary.
