Administrative Support Specialist

At EFP Staffing, we are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team.
The ideal candidate will provide administrative support to ensure the efficient operation of our office, including managing communication, organizing documents, scheduling meetings, and assisting staff as needed.
Key Responsibilities:
- Clerical Duties: Answer and direct phone calls, handle incoming/outgoing mail, and perform data entry.
- Scheduling: Arrange and coordinate meetings, appointments, and travel arrangements for executives and managers.
- Document Management: Create and maintain filing systems, both electronic and physical.
- Correspondence: Draft emails, memos, and other documents as requested.
- Office Supplies: Monitor and order office supplies to ensure smooth office operations.
- Meeting Support: Prepare meeting agendas, take meeting minutes, and follow up on action items.
- Client/Visitor Interaction: Greet visitors and manage front-desk reception duties, ensuring a welcoming atmosphere.
- Accounting Support: Assist in processing invoices, reimbursements, and expense reports.
- Project Assistance: Provide administrative support for various department projects and events.
- Maintaining Confidentiality: Handle sensitive information with discretion and confidentiality.
Required Skills & Qualifications:
- Strong verbal and written communication skills.
- Excellent time management and organizational abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize daily workload.
- Strong attention to detail.
- Ability to work independently and as part of a team.
- High school diploma required; Associate's or Bachelor's degree preferred.
- Previous administrative experience preferred.
Additional Qualifications:
- Familiarity with office equipment (e.g., printers, scanners).
- Basic knowledge of bookkeeping or accounting procedures may be helpful.
- Strong problem-solving skills and proactive attitude.
