Executive Support Specialist

- Coordinate the Managing Director's and Executive Team's calendars, ensuring seamless travel arrangements and efficient use of time.
- Make travel arrangements, including flights, hotels, transportation, and dining, while considering logistics, cost, and quality.
- Research and select vendors/services to optimize logistics, cost, and quality.
- Schedule appointments and reserve meeting spaces, ensuring effective communication between departments and vendors.
- Prepare reports, presentations, and other materials for the Managing Director, demonstrating exceptional writing and communication skills.
- Complete special projects and initiatives as directed by the Managing Director, meeting deadlines and achieving objectives.
- Provide administrative and organizational support to other executives, as needed, and take on additional responsibilities as assigned.
- 5+ years of experience in a professional administrative role supporting executive-level leaders.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
- Exceptional verbal and written communication skills, with a professional and polished demeanor.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Advance Microsoft Excel experience, highly preferred.
- Proven ability to exercise sound judgment and make independent decisions when necessary.
- A proactive and adaptable approach, with a keen eye for detail and a commitment to excellence.
- A team player, able to build strong working relationships with colleagues and external partners.
