Job SummaryThe Administrative Coordinator is a key member of our nursing team, responsible for managing the facility's operations in the absence of administrative staff and department directors. This role requires strong leadership and communication skills, as well as the ability to make sound decisions in a fast-paced environment.
Essential Duties and Responsibilities- Coordinate and supervise patient and family issues, as well as department issues, during assigned shifts.
- Provide high-quality service to patients, families, physicians, and employees, acting as a liaison and advocate when needed.
- Ensure the efficient operation of the facility and optimal use of resources to maximize productivity and minimize costs.
- Carry out responsibilities in accordance with the organization's policies and applicable laws.
- Assume responsibility as designee for administration duties in the absence of an administrative officer during scheduled duty time.
- Assume responsibility as designee for all department directors in their absence during scheduled duty time.
- Foster teamwork and build mutual understanding, respect, and confidence among nursing personnel and between all departments.
- Work cooperatively with outside officials and agencies when dealing with patient or employee issues.
- Document significant events and problems occurring during the shift in the administrative log, with appropriate resolution and follow-up.
- Communicate with Administrator on-call, Department Head, or Unit Director when seeking assistance in decision-making.
- Keep current in changes of policy and procedure, as well as hospital activities.
- Make decisions as necessary and accept accountability for those decisions involving other shifts, nursing units, or departments.
- Identify potential critical situations and initiate immediate action.
- Assist department directors in investigating patient, visitor, employee, and physician incidents, taking immediate action to resolve them and completing appropriate reports and follow-up.
- Promptly report major incidents and problems to the appropriate department head for follow-up action.
- Communicate potential medical and legal problems to Risk Management.
- Make rounds throughout both hospitals at least once per shift in every department with on-duty staff.
- Counsel, evaluate, and advise staff in relation to sentinel events.
- Assist the staffing office as needed in coordinating and maintaining appropriate levels and numbers of personnel according to staffing systems to provide for patient care needs.
- Evaluate all areas for effectiveness of staffing decisions during the shift and make adjustments as needed.
- Check with the staffing office and assist in reviewing staff for the oncoming shift, ensuring adjustments are indicated, such as canceling staff.
- Collaborate with the bed board and admitting, coordinating beds for in-house transfers, direct and ER admissions, as well as intra-hospital transfers between both hospitals, considering staffing, diagnosis, and patient needs when making assignments.
- Associate Degree or Diploma in Nursing required; Bachelor of Nursing (BSN) preferred.
- Current RN licensure for the State of Florida.
- Three to five years of management experience as a solid charge or supervising RN required.
- Basic Life Support (BLS) certification required from the American Red Cross or American Heart Association.
- CEN or CCRN preferred.
- Intermediate computer knowledge: uses Microsoft Word, Excel, Outlook, and Windows.
