Job Summary

As a Grant Administrator II at St John's Well Child and Family Center, you will be responsible for managing and overseeing all grants accounting processes to ensure timely, complete, and accurate reporting and compliance with applicable codes, regulations, and grant conditions. You will serve as the primary liaison between Development, Finance, and Programs to communicate financial status and provide recommendations for grant optimization.

Key Responsibilities
  • Provide data and input for grants proposals prepared by the Development Department
  • Coordinate receipt of award and contract documentation related to grant/contract budgets with Development
  • Create and maintain grant summaries for each grant, detailing grant term, amount, scope of work, and milestones
  • Monitor grant budget to actual expense variances and meet with program directors to provide recommendations for modification
  • Track grants with delayed invoicing, grants ending, and impact on operations
  • Ensure grant/contract funding is allocated and expended appropriately
  • Assist Development Department in determining grant funds available and timing of staff changes
  • Meet with Program Manager/Director to review grant/contract criteria, expenditure criteria, and budget reporting requirements
  • Assist project managers and directors in performing account maintenance of grants and contracts
  • Prepare periodic financial reports due to funding agencies
  • Record payroll costs in Accounting Software by project type and cost center
  • Prepare and analyze monthly allocation of costs to projects/grants, revenues released from restrictions
  • Prepare and post deposits, including reconciling cash donations
  • Maintain up-to-date electronic files of all contracts, awards, grants
  • Coordinate and assist grant financial audits, financial statement audits, cost reports, workers comp audits
  • Maintain knowledge of current federal issues relating to Grants & Single Audits
  • Provide input and participate in the development and implementation of policies and procedures for grants accounting and compliance
Requirements
  • Bachelor's degree in a related field or equivalent
  • CPA preferred
  • Six to eight years related experience or equivalent, including in Finance
  • Ability to write clearly and concisely, edit copy for clarity and grammatical accuracy
  • Commitment to excellence and high standards
  • Excellent written and oral communications skills, including grammatical and spelling skills
  • Excellent presentation skills
  • Strong organizational, problem-solving, and analytical skills
  • Ability to manage priorities and workflow
  • Versatility, flexibility, and a willingness to work within constantly changing priorities
  • Ability to work independently and as a member of various teams and committees
  • Proficient with General Ledger/Grants Module and Microsoft Office
  • Proven ability to handle multiple projects and meet deadlines
  • Proven leadership and business acumen skills
  • Demonstrated proficiency in supervising and motivating subordinates
  • Basic competence in subordinates' duties and tasks
  • Accurately complete detailed forms and reports
  • Calculate figures and amounts
