ROLE OVERVIEW

We are seeking a Human Resources Coordinator to become part of our team at our Sheridan Office. This role involves a variety of administrative and office support tasks for the department and/or managers and supervisors to ensure the smooth operation of the organization.

Key Responsibilities - Administrative Support = 30%

  • Provide administrative and clerical assistance, including correspondence, typing, filing, research, and various projects.
  • Exercise sound judgment, discretion, and confidentiality regarding sensitive departmental information.
  • Utilize cloud-based collaboration tools effectively (e.g., MS Teams).
  • Create detailed spreadsheets, Word documents, and/or PowerPoint presentations.
  • Manage complex administrative responsibilities.
  • Answer, screen, and redirect incoming phone calls. If necessary, send an email with the caller's contact details and message.
  • Welcome and direct visitors and clients.
  • Perform general clerical tasks such as photocopying, faxing, and mailing.
  • Maintain both electronic and physical filing systems.
  • Retrieve documents from the filing system.
  • Handle requests for information and data.
  • Resolve administrative inquiries and issues.
  • Prepare written responses to routine inquiries.
  • Draft and modify documents, including correspondence, reports, memos, and emails.
  • Schedule and coordinate meetings and appointments for managers or supervisors.
  • Sort and distribute incoming correspondence.
  • Manage office supply inventories.
  • Coordinate maintenance of office equipment.
  • Effectively manage time with minimal supervision.
Key Responsibilities - Departmental Support = 30%
  • Recruitment:
  • Navigate the company's applicant tracking system to review applications.
  • Screen applicants who have applied through the company's job postings.
  • This includes making phone calls, updating statuses, and entering notes during phone screenings/interviews.
  • Schedule applicants for orientation, training, and onboarding meetings as required.
  • Complete the applicant background check process.
  • Maintain regular communication with the HR Manager regarding the company's recruitment needs.
  • Onboarding:
  • Navigate the company's onboarding system to successfully onboard candidates.
  • Facilitate the onboarding process by emailing candidates information on completing their new hire paperwork.
  • Collect all necessary forms of government-issued identification for candidates to complete Form I-9s.
  • Complete Form I-9s for all newly hired employees through the company's I-9 Management system.
  • Ensure successful transfer of new hire information in the company's scheduling system and correct any errors.
  • Communicate with the HR Manager and Hiring Managers when a new hire has been successfully processed in the company's systems.
  • Document tasks and report to both the General Manager and Human Resources Manager (time blocking).
Key Responsibilities - Operational Support = 30%
  • Assist in scheduling and executing service requests, including creating sites, contracts, positions, and schedules.
  • Conduct monthly audits (running, reviewing, communicating with managers, and terminating).
  • Provide administrative support related to large-scale events in the field in addition to the primary workplace.
  • Answer and direct phone calls, routing them to the appropriate department or taking messages for the relevant person.
  • Organize or schedule appointments as necessary, especially when manager availability is limited.
  • Maintain office hours and procedures, noting low office supplies for ordering through the business account, maintaining forms and employee resources, and supporting office hours.
  • Provide general assistance to walk-ins and/or visitors.
  • Collaborate with managers to address requests or inquiries.
Key Responsibilities - Other Duties = 10%
  • Employee Profile Management:
  • Ensure employee profiles are current and accurate, including profile photos, phone numbers, permissions, skills, attributes, and employee notes.
  • Assist employees with scheduling, availability, mobile app access, and time-off requests.
  • Perform other duties and responsibilities as assigned.
Qualifications:
  • Provide credible references and I-9 Employment Eligibility Documentation (legal eligibility to work in the U.S.).
  • Must possess a high school diploma or GED.
  • Must be at least 18 years old.
  • Must successfully pass a background check.
  • Must have 1-3 years of relevant experience in a similar role.
  • Ability to perform job tasks professionally in a customer service-oriented industry.
  • Proficiency in reading, writing, and speaking the English language.
  • Computer skills and knowledge of relevant software.
  • Familiarity with the operation of standard office equipment.
  • Understanding of clerical and administrative procedures and systems, such as filing and record-keeping.
  • Knowledge of basic office management principles and practices.
  • Exhibit a positive attitude.
  • Punctuality is essential; never late.
  • Ability to plan and prioritize tasks effectively.
  • Skills in problem assessment and resolution.
  • Competence in information gathering and monitoring.
