About the Role

Abbott Laboratories is a global healthcare leader seeking a skilled Legal Administrative Assistant to provide comprehensive support to the Legal organization. This role will work onsite out of our Alameda, CA location in the Legal Division.

Key Responsibilities
  • Provide administrative support to the Divisional Vice President (DVP) of Legal Operations and other team members, including managing calendars, creating and modifying business documents, and scheduling travel.
  • Utilize advanced software skills, including Microsoft Office Suite and other business-specific software, to effectively support the organization.
  • Manage department meetings and processes, process expense reports, and answer phones.
  • Practice good judgment and maintain confidentiality in handling sensitive business information.
  • Build strong working relationships and networks with others to drive efficiency into the organization.
  • Provide basic project management support and assist with meeting/event coordination.
  • Conduct onboarding activities, including workspace set-ups for new employees.
  • Prioritize workload to ensure departmental support needs are fulfilled.
Requirements
  • High School diploma or equivalent, some college preferred.
  • 5+ years of previous administrative experience or equivalent is required.
  • Very quick and advanced verbal, written, and proofreading skills.
  • Advanced experience in Microsoft Office Suite (Word, PowerPoint, Teams/SharePoint, Outlook, and Excel); intermediate Excel and SAP, Concur experience preferred.
  • Able to juggle multiple competing needs, prioritizing as appropriate.
  • High level of integrity and professionalism in handling sensitive and confidential information.
  • Ability to work independently and as part of a team.
  • Proactive problem solver with strong attention to detail.
