About the Role

We are seeking a highly organized and detail-oriented Office Manager to join our team at The Jewish Board of Children and Family Services. As a key member of our administrative staff, you will be responsible for managing medical records, operating and coordinating our management information system, and maintaining accounting and budget records.

Key Responsibilities
  • Manage medical records and maintain confidentiality
  • Operate and coordinate the management information system
  • Maintain accounting and budget records for recipient and program expenditures
  • Perform reception activities, including triaging calls and coordinating communication between participants and clinical staff
  • Assist with the organization and filing of petty cash funds, metro cards, P-card receipts, and vendor invoices
  • Order and distribute supplies for the program
  • Open, sort, and distribute mail
  • Take minutes at all ACT meetings and prepare for review, edit, and approval by the ACT Director/Team Leader
  • Oversee fee processing and work closely with fiscal, purchasing, and facilities to ensure compliance with agency policies
  • Conduct periodic audits of all data entry performed to ensure accuracy and compliance
  • Provide secretarial support to the Director/Team Leader and other management staff members
  • Monitor, distribute, and replenish petty cash for the division
  • Submit all status forms/PAFs and pay documents for the division in a timely manner
Requirements
  • High School Diploma plus 6 years of relevant work experience or Bachelor's degree plus 3 years of relevant work experience
  • Excellent organizational and communication skills
  • Ability to maintain confidentiality and handle sensitive information
  • Proficiency in Microsoft Office and management information systems
