Position Overview:
This role involves working directly at our Department of Health office. As a Multilingual Vital Records Specialist, you will be integral in enhancing the health and wellness of our community. The Center for Health Statistics (CHS) serves as a pivotal entity in identifying and tracking health challenges within our population.

By gathering and disseminating precise, timely, and comprehensive data, we contribute significantly to the protection of public health. Our responsibilities encompass a wide array of data, from vital records to health risk behaviors, all of which have a profound impact.

Key Responsibilities:
- Review and process incoming requests for vital records, ensuring they meet all necessary standards and regulations.
- Assess applicant eligibility for the requested documents.
- Conduct thorough searches of records using various databases and resources.
- Issue vital records to eligible individuals and update records accordingly.
- Manage payment transactions accurately and securely.
- Reconcile daily financial receipts and submit them to the appropriate department.
- Utilize online systems for order management, ensuring efficient processing and payment.
- Maintain confidentiality and precision in all tasks and communications.
- Adhere to expected timelines for order fulfillment.
- Verify address details and address any discrepancies, reaching out to customers as necessary.
- Ensure prompt shipping and address any shipping issues.
- Investigate order statuses and communicate updates to customers, particularly for orders pending for extended periods.
- Provide essential documentation and information to facilitate order completion.
- Assist customers in understanding relevant laws, policies, and procedures.
- Deliver professional customer service both in-person and via phone.
- Engage in team meetings and contribute to quality improvement initiatives.
- Participate in the review and enhancement of forms, policies, and procedures.

Required Qualifications:
- Bilingual proficiency in English and Spanish, including speaking, writing, translating, and interpreting skills.
- A minimum of two years of experience in customer service roles, adept at resolving inquiries and issues through various communication channels.
- Proficiency in using email platforms like Microsoft Outlook for correspondence.
- Experience with MS Word for document creation and editing.
- Familiarity with MS Excel for spreadsheet management.
- Ability to conduct online research effectively and navigate databases.

Preferred Qualifications:
- An associate degree or higher in business administration or a related field.
- Previous experience in administrative or data entry roles that required strong attention to detail and organizational skills.
- Experience in a high-volume work environment or a government agency.
