Position Overview:

The Client Service Associate plays a vital role within our organization, ensuring seamless communication and support across various tasks related to organization and client interaction. This position requires independent judgment to effectively manage and prioritize a diverse workload.

Key Responsibilities:
  • Manage incoming calls, screening and redirecting as necessary.
  • Maintain and organize calendars, scheduling meetings as required.
  • Participate in internal meetings, documenting notes and ensuring follow-up actions are completed.
  • Work autonomously and collaboratively, taking the lead on special projects.
  • Assist team members by addressing operational and administrative challenges.
  • Ensure the marketing list is current and prepared for quarterly meetings.
  • Facilitate consistent client meetings by utilizing the Meeting Frequency Report.
  • Prepare for meetings by scheduling, logging details in Salesforce, and coordinating necessary resources.
  • Follow up on meetings by processing notes and updates in Salesforce until completion.
  • Manage and update client information in Salesforce, including onboarding processes and documentation.
  • Coordinate travel arrangements and prepare various documents, including reports and correspondence.
  • Provide general administrative support, including mailing and document management.
  • Maintain Excel spreadsheets for specific client tracking purposes.
  • Perform personal tasks as required and act as a backup for administrative support.
  • Welcome and direct visitors, providing clerical support as needed.
Qualifications:
  • A bachelor's degree is preferred but not mandatory.
  • 1-2 years of relevant experience is advantageous.
  • A collaborative team player who embraces constructive feedback.
  • Detail-oriented with excellent verbal and written communication skills.
  • Possesses a professional demeanor and strong organizational abilities.
  • A proactive attitude towards completing tasks efficiently.
  • Proficient in technology and applications, with experience in Salesforce and Excel being beneficial.
