Key Responsibilities:- Deliver outstanding customer service to clients and stakeholders
- Answer incoming calls and warmly welcome visitors
- Manage lead calls and job referrals efficiently
- Conduct precise data entry and maintain accurate records
- Coordinate job scheduling and crew assignments
- Perform general administrative tasks as needed
- Oversee job file status and conduct audits
- Maintain work-in-progress (WIP) files
- Ensure compliance with client requirements
- Prepare preliminary estimates for projects
- Facilitate daily job file coordination
- Support internal and external communication efforts
- Minimum of 1 year of experience in administrative or office roles
- Proficient in current business software applications
- Experience in the cleaning, restoration, or insurance sectors is preferred
- Strong customer service background with quality assurance skills
- Excellent written and verbal communication abilities
- Ability to maintain composure in high-pressure situations
- Exceptional organizational skills and attention to detail
- Self-motivated and results-driven
- Capable of thriving in a fast-paced, collaborative office setting
- Proficient in Microsoft Office Suite (Outlook, Word, Excel)
- Willingness to learn new software, including proprietary systems
